The Challenge

Empowered English operates across the UK, West Africa, Los Angeles, and the Philippines. Remote work opened access to global talent, but created real operational friction. Information scattered across Slack, Google Docs, email, and Trello; updates missed; context lost between time zones. Leadership also lacked consistent engagement data. Without a structured pulse survey, there was no clear way to track engagement levels, leadership communication, work-life balance, or alignment across regions.

What We Did

Quokka Hub redesigned their internal systems around asynchronous collaboration. Rather than adding meetings, we reduced reliance on real-time coordination by consolidating project management into ClickUp, standardizing documentation, establishing clear decision ownership, and replacing live status updates with written async updates. SOPs, onboarding materials, and project briefs were centralized so any team member, regardless of timezone, could access the full project context and move forward without waiting for a call. To measure impact, we implemented quarterly employee pulse surveys covering engagement, leadership communication, work-life balance, empowerment, and real feedback during the changes. Results were reviewed each quarter and tied directly to operational decisions. The Impact The shift to structured async reduced dependency on timezone overlap. Employees reported greater autonomy, clearer expectations, and less meeting fatigue. Leadership gained consistent engagement data to guide decisions, and operational changes were no longer based on intuition but on measurable trends.
